This HR Policy Manual provides a clear framework for employee conduct, workplace culture, performance, and growth opportunities. It ensures transparency, fairness, and consistency in all HR processes, while reinforcing our values of innovation, teamwork, quality, and client-centricity.
2. Code of Conduct
Policy Statement
AuxWork Pvt Ltd requires all employees and interns to maintain the highest standards of professionalism, integrity, and confidentiality. Misconduct, harassment, misuse of resources, or unethical behavior will not be tolerated.
Company Commitment
• AuxWork will provide a safe, respectful, and inclusive workplace.
• An Internal Complaints Committee will be available for grievance redressal.
• Regular training sessions on ethics, workplace behavior, and data protection will be conducted.
• All employees and interns must sign a Non-Disclosure Agreement (NDA) upon joining.
Code of Conduct Guidelines
1. Professional Behavior & Respect

3. Work Exclusivity
• During employment or internship, individuals may not:• Work for another employer during office hours.
• Engage in projects for companies that compete directly with AuxWork.
• Take part in side projects that create a conflict of interest with AuxWork’s business.
4. Use of Company Resources
• Laptops, email, internet, software, and other resources must be used only for official business.• Work for another employer during office hours.
• Unauthorized installations, personal freelancing, or misuse of company property are prohibited.
5. Dress Code & Workplace Etiquette
• Maintain a professional appearance and behavior in-office, hybrid, or remote setups.• Virtual meetings should follow the same etiquette as in-office interactions.
6. Social Media & Representation
• Employees may not share confidential or sensitive information on social media.• Only authorized personnel may publicly represent AuxWork.
7. Substance Abuse
• Possession, use, or influence of alcohol, drugs, or other prohibited substances during work hours or on company   premises is   strictly forbidden.Violations & Disciplinary Actions
•Violations of the Code of Conduct will lead to the following consequences:• 1. Minor Misconduct → Verbal warning and counseling.
• 2. Repeated Violations → Written warning recorded in the employee’s file.
• 3. Serious Offenses (e.g., misuse of resources, unauthorized outside work, breach of privacy) → Suspension, demotion, or      salary   deduction.
• 4. Severe Misconduct (e.g., harassment, fraud, theft, or data breach) → Immediate termination and possible legal action.
Employee Responsibility Statement
• All employees and interns are required to read, understand, and comply with this Code of Conduct. Failure to do so will   be   considered a violation of company policy and may result in disciplinary action.Working Hours & Attendance Policy
Policy Statement
• AuxWork Pvt Ltd requires employees to adhere to defined working hours and maintain punctuality and regular   attendance. This   ensures discipline, productivity, and smooth operations.Standard Working Hours
• Official working hours are 9:00 AM to 6:00 PM, Monday to Friday, including a 1-hour lunch break.• Employees are expected to be logged in/at their desks by 9:00 AM sharp.
• Weekends (Saturday & Sunday) are official rest days, unless business needs require otherwise.
Attendance & Punctuality
• Attendance will be recorded through the HRMS system / biometric / digital attendance tracker.• A 10-minute grace period is allowed. After that, it will be counted as late arrival.
• Three late arrivals in a month = half-day salary deduction (or as per HR discretion).
• Repeated violations may lead to written warnings, deductions, or disciplinary action.
Breaks & Rest Periods
• 1-hour lunch break (between 1:00 PM – 2:00 PM).• Employees may take two short breaks (10–15 minutes each) for tea/coffee.
• Breaks must not be misused or extended beyond the defined limits.
Overtime Policy
• Overtime must be approved in advance by the reporting manager.• Compensation for overtime will be provided as either:
• Extra pay (if business requirement demands extended hours), or
• Compensatory time-off (adjusted in future working days).
• Regular or habitual overtime without approval is not encouraged.
Remote / Hybrid Work Guidelines
• Remote work requires manager approval and must be requested at least 24 hours in advance (except emergencies).• Employees must be available during core hours (10:00 AM – 5:00 PM) for meetings and collaboration.
• Productivity expectations: deliverables, response times, and meeting participation remain the same as in-  office.
• Company data must be accessed securely; confidentiality rules apply even when working remotely.
Leave & Absence Policy
• Leave Application: All leave requests must be submitted via the HR portal or email at least 3 days in advance.• Emergency / Unplanned Leave: Employees must inform their supervisor within 2 hours of office start time.
• Late Arrivals / Early Departures: Repeated incidents will result in salary deductions.
• Absent Without Notice (AWOL):
• 1 day AWOL = salary deduction for that day.
• 2 consecutive AWOL days = written warning.
• 3 or more consecutive AWOL days = risk of suspension/termination.
Public Holidays & Weekend Policy
• AuxWork follows all national public holidays announced by the Government of Pakistan.• The official holiday list will be circulated at the start of each year.
• In case of urgent business requirements, employees may be asked to work on holidays/weekends, with   compensatory leave provided.
• Compensatory time-off (adjusted in future working days).
Rewards for Consistency
• Employees with 100% punctuality and full attendance in a quarter may be recognized through:• Certificates of appreciation.
• Monetary incentives or performance-based rewards.
• Public recognition in team meetings or HR announcements.
Compliance & Enforcement
• Employees are expected to follow attendance rules strictly.• Violations will lead to warnings, deductions, or termination (in extreme cases).
• HR will monitor attendance records and share reports with management on a monthly basis.
Leave & Holiday Policy
Policy Statement

Types of Leave
1. Casual Leave (CL) – 6 days/year for urgent personal matters.
2. Sick Leave (SL) – 8 days/year, medical certificate required for 3+ days.
3. Annual / Earned Leave (AL/EL) – 14 days/year, can be carried forward (up to 7 days) or encashed.
4. Public Holidays – As per Govt. of Pakistan gazetted calendar.
5. Maternity Leave – 12 weeks paid (as per law).
6. Paternity Leave – 5 days paid.
7. Compensatory Off (Comp-Off) – For working on weekends/holidays.
8. Unpaid Leave (LWP) – When leave quota is exhausted, subject to approval.
9. Half-Day Leave – Allowed with approval, counted as 0.5 day.
Rules & Procedures

Disciplinary Policy & Termination

Misconduct Examples
Misconduct includes, but is not limited to:• Breach of confidentiality or NDA.

• Absenteeism, habitual lateness, or abandoning duties.

Disciplinary Procedure
AuxWork follows a structured progressive discipline system:1. Verbal Warning → First stage for minor violations.
2. Written Warning → For repeated offenses, documented in the employee’s file.
3. Final Warning → Serious notice indicating risk of termination.
4. Termination / Dismissal → For major or repeated misconduct, or failure to improve after warnings.
Note: For major misconduct, the company reserves the right to skip directly to termination.
Probationary Period Clause
• All employees and interns will serve a 14-day probationary period.
• If performance or conduct is found unsatisfactory during probation, termination may occur without notice   or   compensation.
Termination Policy
1. Notice Period
• Either party may terminate employment by giving 7–30 days’ written notice, depending on role/contract   terms.
• Pay in lieu of notice may apply at management’s discretion.
2. Immediate Termination Grounds
AuxWork reserves the right to terminate employment without notice in cases of:• Gross misconduct (fraud, theft, harassment, violence, or severe data breach).
• Breach of confidentiality or violation of NDA.
• Actions causing reputational, financial, or legal damage to the company.
3. Exit Process
• Employee must return all company assets (laptop, ID card, documents, etc.).
• HR will process final settlement (salary, benefits, leave encashment).
• An exit interview may be conducted to gather feedback and ensure smooth transition.
4. Resignation Policy
• Employees must submit a formal written resignation within the required notice period.
• HR and the reporting supervisor must approve and ensure a proper handover of duties.
Compliance & Authority
• Disciplinary actions and terminations will be handled by HR in consultation with management.
• Final authority for disciplinary actions and termination decisions rests with the Board of Directors of   AuxWork Pvt   Ltd.
